Objective:

Icebolethu Group is seeking to appoint suitably qualified and experienced bidders to join a panel of contractors for the provision of maintenance services across its KwaZulu-Natal facilities. The required services include plumbing, electrical, refrigeration and HVAC, and general building works. The objective is to ensure timely, cost-effective, and compliant maintenance support for the company’s operational facilities throughout the region.

Mandatory Compliance Requirements

The following are compulsory compliance requirements that must be met by all prospective suppliers to be considered for the pricing evaluation:

Technical Requirements:

• Company Certifications and Trade Licences: Company valid registration and certification documents relevant to the services being offered.
• Company Technical Capability & Relevant Project Experience: A summary of the company’s technical capacity, supported by at least three (3) reference letters from recent clients for projects of a similar nature, size, or complexity.
• Key Personnel Qualifications: Certified copies of trade qualifications and professional licenses for personnel who will be assigned to the work (e.g., Red Seal, Wireman’s License, Gas Handling Certificates).
• Key Personnel CVs: Comprehensive CVs highlighting key member’s experience in similar or related maintenance work.
• Resource Availability Schedule: A detailed schedule outlining the availability of personnel, tools, and equipment proposed for this contract, including expected lead times and response capacity.

1. RFQ Document
   Main document outlining the scope, requirements, terms, and evaluation criteria.
2. Annexure A – Supplier Information
   Form to be completed with the supplier’s company details, registration, compliance information, and contact information.
3. Annexure B – Supplier Regional Coverage Form
   Template for suppliers to indicate the regions/provinces they are able to service.
4. Annexure C – Rate Card
   Pricing schedule to be completed with the applicable rates per region, service type, and any additional costs as specified.
5. Annexure D – Returnable Documents Checklist
   Checklist to be completed and returned as mandatory part of RFQ submission.

Submission Guidelines:

Bidders are required to submit their proposals on time and to the correct designated email address. Submissions that are late or sent to an incorrect address will be automatically disqualified and will not be considered for evaluation.
